Categorizing Transactions in Propio

After adding a client, connecting their ledger and bank accounts, and mapping these accounts in Propio, you're ready to categorize transactions and push them to the ledger. Here's how to proceed:

1. Access the Transactions Page

  • Navigate to the Transactions section in Propio.

2. Review Automatically Categorized Transactions

  • Propio's AI may have pre-categorized some transactions.

  • Hover over a transaction's category to view the AI's confidence level and rationale.

  • If the categorization is accurate, select the corresponding transactions and click Save to confirm.

3. Handle Unmatched Transactions

  • Identify transactions that haven't been categorized, such as internal transfers between accounts.

  • For transfers (e.g., from a checking account to a credit card), select the transaction and categorize it as a transfer to the corresponding account.

  • Match the transaction with its counterpart to ensure consistency.

4. Categorize Remaining Transactions

  • For transactions not automatically categorized, manually assign the appropriate category.

  • Select the transaction, choose the correct category from the dropdown, and click Save.

5. Push Transactions to the Ledger

  • Once transactions are categorized, they can be pushed to the connected ledger (QuickBooks or Xero).

  • Categorized transactions are automatically synchronized with the ledger, reflecting in real-time.

6. Utilize Filters and Search Functions

  • Use filters to narrow down transactions by date range, merchant name, amount, or other criteria.

  • Apply specific filters to efficiently locate and categorize transactions.

7. Export Transactions

  • To export transaction data, click the Export button.

  • Choose the desired format (e.g., CSV) to download the transactions displayed on your screen.

8. Manage Multiple Clients

  • If managing multiple clients, switch between them using the client dropdown menu.

  • This allows for seamless navigation and transaction management across different client accounts.

9. Synchronize Chart of Accounts

  • Propio pulls categories directly from your client's chart of accounts in QuickBooks or Xero.

  • Updates made in the ledger's chart of accounts will sync with Propio, ensuring consistency.

By following these steps, you can effectively categorize transactions in Propio, ensuring accurate financial records and seamless integration with your clients' ledgers.
