How do I load and edit my client’s Chart of Accounts into Propio if I use QuickBooks Online?

🧾 Steps to Create a Chart of Accounts

  1. Make sure the client's QuickBooks account is already connected to Propio.

  2. Access the client’s ledger QuickBooks online.
    Log into the platform where the client’s books are managed.

  3. Navigate to the Settings (⚙️).

  4. Under the "Your Company" section, click Chart of Accounts.

  5. Click New.

    1. Choose the appropriate Account Type and Detail Type.

    2. Enter a Name and, if needed, a Description.

  6. Click Save and Close to add the account.

  7. Return to Propio and refresh the Chart of Accounts.

    • Go to the Clients section in Propio.

      • Use the search bar to find the client whose Chart of Accounts you updated.

      • Click the Settings icon (⚙️) on the right side of the client row.

        • In the top menu, click on Chart of Accounts.

          • Click the “Refresh Chart of Accounts” button.


🛠️Steps to Edit an Existing Account

  1. Go to the left-hand menu.

  2. Click Transactions > Chart of Accounts

  3. Locate the account you want to modify. You can use the filter by name or number search box.

  4. Click the arrow next to the "Run report" button.

  5. Select "Edit" from the dropdown menu.

    Or:

    1. Look for the pencil icon in the top right, just below the green "New" button.

    2. Click it to edit the account.

  6. Make the desired changes and click Save and Close.

  7. Return to Propio and refresh the Chart of Accounts.

    • Go to the Clients section in Propio.

      • Use the search bar to find the client whose Chart of Accounts you updated.

      • Click the Settings icon (⚙️) on the right side of the client row.

        • In the top menu, click on Chart of Accounts.

          • Click the “Refresh Chart of Accounts” button.

    ✅ Propio will now reflect all changes made in the accounting system.


📥Upload a Chart of Accounts Using a Template

If you'd like to speed things up, you can import multiple accounts using our pre-formatted template.

  1. Download the Chart of Accounts template Download Template

  2. Go to QuickBooks Online.

  3. Navigate to the Settings (⚙️) and select Import Data.

  4. In the dropdown Select record type, choose Chart of Accounts, then click the green Import button.

  5. In the section Select a CSV or Excel file to upload, click Browse.

  6. Locate and select the file you downloaded, then click the green Next button.

  7. QuickBooks will prompt you to map the columns in your file with its fields (Account Name, Detail Type, Account number and Type).
    🪄 You don’t need to change anything — our template matches all required fields.

  8. Click Next.

  9. Review the summary of accounts to be imported: Account Name, Type, and Detail Type. Click Import.

  10. You’ll see a success message with the number of accounts imported.

  11. To view them, go to the left-hand menu, click Transactions > Chart of Accounts — your imported accounts will be listed there.

  12. Return to Propio and refresh the Chart of Accounts.

  • Go to the Clients section in Propio.

    • Use the search bar to find the client whose Chart of Accounts you updated.

    • Click the Settings icon (⚙️) on the right side of the client row.

      • In the top menu, click on Chart of Accounts.

        • Click the “Refresh Chart of Accounts” button.

✅ Propio will now reflect all changes made in the accounting system.
