Quick Start Guide: Getting Started with Propio
Everything is built to be simple, efficient, and designed around the way you already work.
โ 1. Add your first client
Go to the Clients section and click New.
Enter the client's Organization Name and Industry (this helps AI improve categorization).
Fill in the contact details, and choose their preferred communication method:
Only clients with WhatsApp or Messenger will receive messages.
Set the Accounting Start Date โ this is the date from which Propio will begin tracking transactions.
Click Save.
๐ง Tip: The clientโs phone number and email must be unique.
๐ 2. Connect your ledger (QuickBooks or Xero)
Go to the Clients page and search for your client.
Click the Onboarding icon on the right.
In the Ledger Connection step, choose QuickBooks or Xero.
Authenticate the connection and select the account to sync.
๐ฆ 3. Connect the clientโs bank account
Still inside the Onboarding flow, proceed to the Bank Connection step.
Copy the bank link and share it with your client โ or enter the details yourself.
Clients will connect via Plaid. Once connected, youโll see a green checkmark.
Click Cancel to exit the Onboarding flow. Your connection is saved.
โ ๏ธ Once you're working in Propio, we recommend disconnecting the bank feed in QuickBooks or Xero to avoid duplicate transactions.
๐ 4. Refresh the Chart of Accounts
Go to Clients > Configure (โ๏ธ) > Chart of Accounts.
Click Refresh Chart of Accounts to pull the latest structure from the ledger.
๐งพ 5. Categorize transactions
Go to the Transactions page and select your client.
Review Pending transactions โ Propio AI will suggest categories automatically.
Use filters or search to group similar transactions.
Use the checkbox next to โDateโ to select all visible transactions.
Click Send to move them to the ledger.
๐ง Tip: Correcting a category trains Propioโs AI to do better next time.
You can also request a new AI suggestion, request feedback or exclude any transaction temporarily.
๐ 6. Handle transfers between accounts
Transfers are shown with a locked checkbox.
Just click the category dropdown, match both sides, and click Confirm. Propio will move both entries to Categorized automatically.
๐ฉ 7. Request client feedback (if needed)
If a transaction needs clarification:
Click the three-dot menu (โฎ) in the Category column.
Select Request Feedback โ Propio sends a message to the client and moves the item to the Feedback Requested tab.
The message also appears in the Inbox under that client.
๐ 8. Generate financial reports
Go to the Reports section.
Select your client, choose the report type (Balance Sheet or P&L), and pick the end date.
Click Generate โ your report appears in the history table, ready to download.
๐ For Balance Sheets, only a single date is required.
๐ For P&L, select both a start and end date in the same calendar popup.
๐ 9. Reconcile a bank account
Go to Reconciliation.
Select your client and their bank account.
Choose the statement end date and click Start Reconciliation.
Let Propio complete its 3-step process.
If Discrepancy = 0, click Mark as Reconciled.
You can manually edit the bank balance if needed.
๐ฌ 10. Use Inbox to communicate with clients
Youโll find Inbox in the left menu.
It only shows clients set up with WhatsApp or Messenger.
You can send and receive messages, track unread replies, and share PDFs or images.
๐ค 11. Use Propio AI for quick answers
At the top of your screen, click Propio AI to ask questions about accounting, taxes, or finance โ in English or Spanish.
Click the expand icon to enlarge the chat or download your full conversation.
๐ 12. Share feedback with the Propio team
Click Feedback at the top of the screen (next to Propio AI).
You can report an issue, suggest an improvement, or just share a thought โ we review every message.
