Deactivate and Reactivate a Client
When you no longer need to actively manage a client, you can deactivate them. Deactivated clients enter read-only mode where no changes can be made to transactions, reconciliation, tags, vendors, chart of accounts, or AI reports. You can reactivate them at any time.
Overview
If a client relationship ends or you need to pause active bookkeeping for a client, Propio lets you deactivate them rather than deleting their data. A deactivated client enters a read-only state — all historical data is preserved and viewable, but no edits can be made to transactions, reconciliation, tags, vendors, chart of accounts, or reports. When you're ready to resume work, you can reactivate the client instantly and pick up where you left off.
Steps
1. Navigate to the Client's Profile
From your dashboard, select the client you want to deactivate. Open their client profile or settings page by clicking on their name or navigating to their Settings section.
2. Open the Status or Settings Menu
Within the client's profile, look for the Status menu, settings gear icon, or client management options. The deactivation option is located in the client's administrative settings.
3. Select Deactivate
Click Deactivate from the available options. Propio will display a confirmation prompt explaining what happens when a client is deactivated, including the read-only restrictions that will be applied.
4. Confirm Deactivation
Review the confirmation message carefully. Click Confirm to proceed with the deactivation. Once confirmed, the client's status changes immediately.
5. Client Enters Read-Only Mode
After deactivation, the client's workspace enters read-only mode. You'll see a deactivated banner displayed prominently across the client's pages. While in this state:
- All historical data remains viewable (transactions, reports, reconciliation records)
- No new transactions can be categorized or edited
- Reconciliation cannot be performed
- Tags, vendors, and Chart of Accounts entries cannot be modified
- AI categorization and reports are paused
6. Reactivate a Client
To bring a deactivated client back to active status, navigate to the deactivated client from your dashboard. Open the client's profile and click the Reactivate button (which replaces the Deactivate option). Confirm the reactivation, and the client will immediately return to full active status with all features and editing capabilities restored.
