Deactivate and Reactivate a Client
Pause active management of a client without deleting any data. Deactivated clients enter read-only mode and are removed from your subscription until you reactivate them.
Overview
When a client engagement ends or you need to pause bookkeeping, you can deactivate the client instead of deleting them. Deactivation removes them from your subscription, disconnects their bank accounts, and stops transaction syncing. All historical data — transactions, reports, and ledger entries — is preserved as read-only. You can reactivate at any time and pick up where you left off.
Only admins can deactivate and reactivate clients.
Deactivate a Client
- Open the client's profile.
- Scroll to the Client Status section.
- Click Deactivate Client.
- A confirmation dialog appears listing what will happen:
- Remove this client from your subscription
- Disconnect bank accounts
- Stop transaction syncing
- Click Deactivate Client to confirm.
The client immediately enters read-only mode. A banner reading "This client is deactivated. All data is read-only." appears across all their pages.
Open reconciliation? Propio will block deactivation if the client has an open reconciliation in progress. Complete or discard it first.
Reactivate a Client
- Open the deactivated client's profile.
- Scroll to the Client Status section.
- Click Reactivate Client.
- Confirm the reactivation in the dialog.
The client is immediately restored to active status and added back to your subscription. Bank accounts will need to be reconnected to resume transaction syncing.

Tips
💡 Deactivation affects your billing. The client is removed from your subscription the moment you deactivate, so you won't be charged for them going forward.
💡 Reconnect the bank after reactivation. Bank accounts are disconnected on deactivation and don't automatically reconnect. After reactivating, go to the client's bank setup to send a new connection invite.
Common Issues
The Deactivate Client button is grayed out or missing.
Only admin-level users can deactivate clients. Contact your organization admin if you don't have this option.
Propio won't let me deactivate — it shows a reconciliation warning.
The client has an open reconciliation in progress. Complete or discard it before deactivating.
