Use the AI Assistant to Manage Client Accounting Work
The AI Assistant is a context-aware chat tool available on every page in Propio. It already knows which client you have selected and which page you're on — so you can ask it to query transactions, pull financial summaries, analyze vendor spending, create categorization rules, and answer complex tax and accounting questions without ever leaving your workflow. Think of it as a knowledgeable colleague who already has your client's books open.
Before You Start
Most Assistant features require a client to be selected. For general accounting and tax questions, no client selection is needed.
Use cases
Query Transactions- Select a client and navigate to their Transactions page
- Open the Assistant panel
- Enter your query — for example, "Show me all transactions from last month" or "Find check #1042"
- Click ↑ — the Assistant retrieves and displays the matching transactions for your review
Get a Financial Summary
- Select a client and open the Assistant panel
- Ask for the summary you need — for example, "Give me a financial summary for this quarter" or "Show me income vs. expenses for the year"
- Click ↑ — the Assistant returns income, expenses, net, top spending categories, top vendors, and categorization progress
Analyze a Vendor
- Select a client and open the Assistant panel
- Ask about a specific vendor — for example, "How much have we spent at Home Depot this year?" or "How has Amazon been categorized?"
- Click ↑ — the Assistant shows total spending, transaction count, categorization patterns, and any memory rules currently in effect for that vendor
Create a Categorization Rule
- Select a client and open the Assistant panel
- Ask the Assistant to create a rule — for example, "Always categorize Costco as Office Supplies" or "Remember that Shell goes to Auto & Fuel"
- Click ↑ — the Assistant shows a confirmation card with the proposed rule for your review
- Confirm the rule — it is saved and applied to future transactions for this client
Categorize and Post Transactions from the Transactions Page
The Assistant can act directly on the transactions table — categorizing and posting without you having to select rows manually.
Bulk by vendor (fastest — works across all pages):
- Navigate to the client's Transactions page and open the Assistant panel
- Ask the Assistant to handle a vendor in bulk — for example, "Categorize all McDonald's transactions as Meals & Entertainment and post"
- Click ↑ — the Assistant confirms the number of transactions it found and asks for your approval before proceeding
- Confirm — the Assistant categorizes and posts all matching transactions across every page in one step
All transactions on the current page:
- Navigate to the client's Transactions page (Review tab) and open the Assistant panel
- Ask the Assistant to process the page — for example, "Categorize everything on this page as Office Supplies and post"
- Click ↑ — the Assistant categorizes and posts all transactions on the current page for your review
Categorize only (without posting):
- Follow either workflow above, but phrase your request without "post" — for example, "Propose a categorization for all transactions in Review tab"
- The Assistant categorizes the transactions in Review tab, so you can review them before posting
Ask an Accounting or Tax Question
- Open the Assistant panel from the bottom right corner of any page
- Click the Type a message... field and enter your question — for example, "What is the deductibility rule for business meals?" or "How should I handle a vehicle purchase for an S-corp client?"
- Click ↑ to send — the Assistant responds with cited guidance directly in the chat
Upload a Document to Analyze or Auto-Fill the Add a Client Form
- Click the + button in the bottom left of the Assistant panel to attach a file
- Add a message telling the Assistant what to do — for example, "Summarize this document" or "Fill out the Add a Client form using this file"
- Click ↑ — the Assistant analyzes the document and either summarizes it in the chat or populates the Add a Client form fields on screen for your review
Tips
💡 The Assistant is page- and client-aware. It reads your current context automatically — no need to repeat which client you're working with in every message.
💡 Not sure which category to use? Ask the Assistant to suggest one. Instead of specifying a category upfront, you can ask: "What category should these Shell transactions be?" or "Suggest a category for the uncategorized Costco transactions." The Assistant will look up the vendor's history, past patterns, and any existing memory rules to propose the right category — you just confirm and it applies it.
💡 Explain a categorization. Not sure why a transaction landed in a specific category? Ask: "Why was this transaction categorized as Meals?" The Assistant will surface the AI's reasoning, confidence level, and any memory rules that influenced the decision.
💡 Firm-wide rules propagate automatically. Categorization rules you create apply at the client level. When your firm has corrected the same vendor across three or more clients to the same category, a firm-wide rule is set automatically — so you don't have to repeat the correction for every client.
